SUMMARY: Provide information and direction to all clients and visitors in a professional and attentive manner. Work closely with the team to answer all inquiries and maintain general efficiency in an Employment Resource Centre setting. Provide administrative support to the Centre Coordinator.

Duties / Responsibilities
|
| | § Welcome and respond to client inquiries in an enthusiastic, professional and polite manner in person, over the phone and via e-mail § Register new clients using a customized database system § Enrol clients for group and one-on-one sessions § Maintain an organized and tidy reception area § Create, update and maintain MS Excel worksheets, regularly compile and enter required statistical information and generate monthly, biannual and annual statistical reports for Coordinator as required § Create and distribute marketing materials § Maintain stock of office equipment, supplies and storage areas § Catalogue new books and resources § Regularly update staff, client, community partner and supplier contact lists § Using MS Access distribution database, manage and provide Centre Activities information on mass to community partners and clients monthly as required § Track overall centre activity and staff availability for the purpose of new client orientations, client enquiries and job search related assistance. § Manage photocopier access; prepare copy cards § Maintain sufficient copies of orientation packages, flyers and forms for clients § Receive and sort deliveries and mail |

Requirements / Qualifications
|
| | § Proven exceptional customer service and organizational skills § Advanced level MS Word, Excel, Access, PowerPoint, MS Outlook and Internet § Excellent telephone manner and customer service skills § Excellent written and verbal communication skills § Able to work effectively as an integral part of a team § Sensitivity to client and staff diversity § Ability to maintain professionalism when dealing with clients, team and community partners - Flexible, detail oriented, able to multi-task, meet deadlines, and work in a fast paced environment
